Frequently Asked Questions

  • Q: Can an email invitation that lists the invitees and their email addresses count as a sign-in sheet for stakeholder consultation?

A: No. An email invitation that lists invitees and their email addresses cannot count as a sign-in sheet or a participant roster. While school systems must maintain evidence of outreach (such as email invitations) to demonstrate a good-faith effort to contact required stakeholders, a valid sign-in sheet or participant roster requires additional specific details:

    • Required Details: Campus name, meeting title, programs in review, meeting date and time, meeting location (or virtual platform name), stakeholder names, and stakeholder roles.
    • Virtual Meetings: For virtual environments, a properly detailed Participant Roster serves as an acceptable substitute for a traditional sign-in sheet and eliminates the need for physical signatures.

Q: Am I required to use these templates?

A: No. This is an optional resource provided to you. It was created to provide an example of content that could be included in your needs assessment documentation.

Q: Can I share the resources with other school district staff?

A: Yes. Anything labeled as a resource is meant to be shared!

Q: How will I know if the toolkit has been updated?

A: The Initiative will identify any updates to the toolkit by adding the date next to the file. Best practice would be to return to this website as you plan each meeting or at the start of your needs assessment cycle to ensure you have the most up-to-date resources.
